A clinic calling system in Hong Kong has to do more than flash numbers. It has to handle multiple doctors, calm long waits, respect patient privacy, and befriend the aunty who walked in with a paper slip. This guide walks through the five questions every clinic manager should ask before signing with a vendor, with answers grounded in the features our team has built into TickIt Easy and the questions we hear from GP and specialist practices across Hong Kong Island, Kowloon and the New Territories.
1. Privacy and patient identification
Patient names should not appear on the calling display — only a ticket number and (optionally) a room or category. TickIt Easy's calling screen shows the ticket number and the room it is assigned to, never the patient's name, and it does not broadcast full names over speakers either. For follow-up bookings, look for a vendor that keeps queue data isolated by branch and that supports export, so you can hand records back to your existing clinic management system and stay on the right side of Hong Kong's Personal Data (Privacy) Ordinance. Our clinic solution page explains how TickIt Easy runs alongside your PMS rather than replacing it — your patient data always stays in your hands.
2. Multi-doctor routing and categories
Most Hong Kong clinics run two or more doctors, often with separate consultation and dispensing windows. A good calling system lets you create categories per doctor or per station, and runs a single multilingual display that all patients can read. With TickIt Easy, each category has its own queue, and the calling staff see exactly which doctor is up next — and you can spin up a new ticket category (e.g. a 'fast flu consultation' channel) the moment flu season hits. A missed number in one category does not block another, and each queue runs at its own pace.
3. Accessibility for elderly patients
Many clinic patients are 60+, and not all of them are comfortable with smartphones or have great eyesight. The system has to be readable at a distance, with large numbers, high contrast, and multilingual support (TC / SC / EN). The display can run on any TV in fullscreen, and the QR code on the reception tent card is large and high-contrast. Patients who can take a phone ticket can leave the waiting room and check their place from the corridor or the cafe downstairs — no more 'sit tight, we will call you' uncertainty. For patients who really do not want to use a phone, reception can issue the ticket from the calling station on their behalf — the same flow, just staffed.
4. Missed-turn rejoin and grace windows
Patients miss their turn for a hundred reasons: a phone call, a medication, a child, a wrong floor and a sudden bathroom break. The calling system should mark the patient as missed and let them rejoin within a grace window the clinic sets (default 5 minutes in our clinic calling guide) — one tap on the patient's phone and they are back in the queue. This single feature removes a huge slice of front-desk friction — no one has to argue about who was next, and a patient is not punished for stepping to the restroom. For reception staff, it dramatically cuts down on those difficult conversations at the counter.
5. Pricing that scales with your clinic
A small GP clinic does not need the same plan as a 10-doctor specialist centre. TickIt Easy's free plan covers 1 branch and 1 category — perfect for a solo GP dipping a toe in. Starter (HKD 100/mo) unlocks unlimited categories, which is where most multi-doctor clinics settle. Pro adds a promo strip on the waiting screen (useful for vaccination drives, health-check packages, and so on — and a handy cross-sell surface for the clinic). Enterprise covers chains, white-label displays and paid-ticket flows — for instance, private clinics selling pre-paid health-check packages. See the full pricing comparison for details, and remember new accounts get a 30-day Starter trial with no card required.
Frequently asked questions
Does the calling display show patient names?
No. The display shows the ticket number and the assigned room or category only. Patient names stay in your existing clinic management system, not on the public board.
Can each doctor have their own queue?
Yes. TickIt Easy supports unlimited ticket categories per branch. Set up one category per doctor, or per consultation / dispensing window, and the display rotates between them.
What happens if a patient misses their turn?
Staff mark the patient as missed on the calling station. The patient can rejoin the queue from their phone within the grace window you set (5 minutes by default). No one has to argue about who was next.
Is the system accessible for elderly patients?
Yes. The display uses large, high-contrast numbers with multilingual support (TC / SC / EN). The QR code on the reception tent card is large and clearly labelled.
Will it replace our existing clinic management system?
No. TickIt Easy runs alongside your existing PMS. Queue data is yours, and you can integrate with your current setup through the Partner API when needed.
